I cannot sign in or join a workspace

The sign-in code did not arrive
  1. Confirm the full email address shown on the sign-in screen.
  2. Wait a few minutes and check spam, junk, focused/other, and mail rules.
  3. Use only the newest code; requesting another invalidates the earlier one.
  4. Confirm the device date and time are automatic.
  5. Request one new code. Do not request repeatedly.
The invite says it belongs to another verified email

Sign out, choose Use another account, and authenticate with the address to which the invitation was sent. Forwarding an email does not change its intended recipient.

I already belong to another workspace

Authenticate with the same verified account and accept the new invite. Workdesk can keep multiple memberships; choose the needed workspace after sign-in. Do not create a second identity unless the organizations require separate email addresses.

The invitation is expired or used

Ask an owner or supervisor to revoke the old invitation and create a new one. Include the intended role and location assignment.

My update is waiting or not visible

  1. Read the pending-change indicator.

    If it says changes are waiting for connection, keep the app open and reconnect to a stable network.

  2. Refresh once.

    Wait for the sync time to update. Do not repeat the status action while the original is pending.

  3. Compare one other device.

    If the second device sees the change, refresh or restart the first app. If neither sees it, note the approximate action time.

  4. Preserve local media.

    Do not clear app storage or uninstall while unsynced photos or files may remain.

A ticket or workspace is missing

  • Confirm the selected workspace.
  • Clear search, status, location, and Attention/Open/All filters.
  • Check the Closed section when the ticket was approved earlier.
  • Ask the owner to confirm location assignment and responsibility eligibility.
  • Remember that a removed ticket becomes an audit entry and no longer appears as an active ticket.

A photo or file will not upload

  1. Keep the original file or camera photo on the device.
  2. Reconnect to a stable network and reopen the same ticket.
  3. For photos, use JPEG, PNG, HEIC/HEIF where supported, or the in-app camera. The uploaded copy is compressed while the original stays local.
  4. For invoices, reveal the optional fields and match XML to XML and PDF to PDF.
  5. If an individual file exceeds the displayed limit, reduce or split it without deleting the original.
  6. Retry once. If it fails, record file type, size, ticket ID, and exact message.
Do not attach the same evidence repeatedly.

Refresh the activity timeline first; a completed upload may already be present.

Arrival, GPS, or map data is missing

  • Confirm the workspace has location logging enabled.
  • Allow location permission for Workdesk and enable device location services.
  • Move near a window or outdoors, then retry the event once.
  • Battery saving and approximate-location modes may reduce precision.
  • The daily map only contains recorded shift and ticket-event snapshots; it is not continuous tracking.

If the event is operationally required but GPS is unavailable, add a ticket note explaining the circumstance and continue the safe workflow.

The workspace is read-only or storage is full

Open Settings, then Plan and billing or the owner portal. Only an owner or billing administrator can resolve plan, suspension, or storage restrictions.

  • Confirm the subscription status and current plan.
  • Review storage usage and hosted-file count.
  • Export needed records before removing or archiving old data.
  • After payment or plan changes, refresh the workspace once.

I see “internal server error”

  1. Do not repeatedly press the same action.
  2. Confirm ordinary internet access and refresh once.
  3. Wait briefly, then retry the exact action one time.
  4. Check whether the operation actually completed despite the message.
  5. If it continues, use the support checklist below.

Escalate with enough context

Send only what support needs to locate the operation:

  • Workspace name and your role
  • Android app or browser, plus app version when available
  • Screen and exact action
  • Approximate local date and time
  • Ticket, location, or invite identifier
  • Exact visible message and a screenshot with private data hidden
  • Whether the action worked on another device or network
Never send

One-time sign-in codes, passwords, Stripe secret keys, complete card details, or unrelated customer records.
